It is particularly helpful for teams based in different locations or perhaps working from home. The software will stop endless emailing and voicemails and eradicate the need for face-to-face communication when a project element is completed. In this article from Relativity, the business technology specialists based in East Sussex, we discuss what a collaboration app is, the benefits collaboration software will bring to your business, what to consider before choosing your software and how we can help you.</span></p><p style="text-align:left;"><span style="font-family:&quot;Source Sans Pro&quot;, sans-serif;font-size:16px;"><br/></span></p><h2 style="text-align:left;"><span style="font-weight:bold;">What is a Collaboration App?</span></h2><p style="text-align:left;">In general terms, it refers to any piece of software that facilitates people getting work done together. Teams can work effectively and efficiently, enabling teamwork even though they may be miles apart. This will make your employees more organised and improve productivity.</p><p style="text-align:left;"><br/></p><h2 style="text-align:left;"><span style="font-weight:bold;">Benefits of Collaboration Software</span></h2><ul><li style="text-align:left;">Better communication – sharing documents, videos, messages, etc.</li><li style="text-align:left;">Enhanced project management</li><li style="text-align:left;">Improved workflow of Agile teams</li><li style="text-align:left;">Facilitates remote working</li><li style="text-align:left;">Better scheduling</li><li style="text-align:left;">Time efficient – your team can concentrate on important tasks</li><li style="text-align:left;">Increases employee engagement and satisfaction]</li></ul><div style="text-align:left;"><br/></div><h2 style="text-align:left;"><span style="font-weight:bold;">What to Consider When Choosing the App Best for Your Business</span></h2><p style="text-align:left;">With literally dozens of collaboration tools available and new ones being added all the time, you will need to know what the main purpose will be and what business needs your software needs to meet including what types of projects will need to be collaborated on. It’s key to have software that is easy to use, as your team will have differing abilities. Decide on your budget, as some software companies offer a ‘free’ version, which may suit your current requirements although further down the line, you may want software with more functions.</p><ul><li style="text-align:left;">What is the main purpose?</li><li style="text-align:left;">How usable is it?</li><li style="text-align:left;">Will it fit your budget?</li><li style="text-align:left;">How many people and departments will be using the software?</li></ul><p style="text-align:left;">Other questions to think about are the types of projects, how your team handles communication and workflow and where you store your project files. Also consider how many people and departments are involved, what other apps your team uses, will all conservations be archived and whether it is just used for work specific projects or will there be social use as well. If this all sounds somewhat overwhelming, why not ask the experts?</p><p style="text-align:left;"><br/></p><h2 style="text-align:left;"><span style="font-weight:bold;">Zoho Projects</span></h2><p style="text-align:left;">In a recent article by <a href="https://uk.pcmag.com/productivity-2/70214/the-best-online-collaboration-software-for-2020" target="_blank" rel="noreferrer noopener">PC Magazine</a>, Zoho Projects was picked as the Editors’ Choice for collaboration software. It was described as having rich communication features, being responsive and great value. The magazine considered it a leader in both project management and time tracking. The software will allow collaboration on projects with colleagues as well as clients, in fact anyone with access to file sharing, calendars, message boards, wiki pages, chat rooms and a lot more.</p><p style="text-align:left;"><br/></p><h2 style="text-align:left;"><span style="font-weight:bold;">How Can Relativity Help You with Your Cloud Based Collaboration Software?</span></h2><p style="text-align:left;">Don’t get left behind. Moving to the <a href="https://en.wikipedia.org/wiki/Cloud_computing">cloud </a>is actually becoming the norm as cloud computing increases the efficiency of businesses and is cost effective. Irrespective of the size of your company - cloud services will save you money, which is the bottom line for most businesses.</div><ul><li style="text-align:left;">Cost-effective</li><li style="text-align:left;">Flexible</li><li style="text-align:left;">Secure</li></ul><div style="text-align:left;">First of all, let’s have a general look at the cloud; it’s when your computer resources are available when you want them on the Internet. So from any location in the world, as long as you have an Internet connection, you have access to your data without having to have all the information stored on hard drives and computers in your office. Already you can see that it’s a flexible business solution and it is able to grow as your requirements grow.</div><div style="text-align:left;"><br/></div><h2 style="text-align:left;"><strong>Cost-Effective</strong></h2><div style="text-align:left;">It certainly makes sense that you pay for what you need in IT capacity, almost like a “pay as you go” system. So you win on 2 fronts as if your business is expanding at a rate of knots you can expand your IT capacity at the same pace quickly and easily and conversely if you need to cut back, you can reduce your capacity at short notice. It’s normal for all companies to have “peaks and troughs” and some businesses are quite seasonal.</div><div style="text-align:left;"><br/></div><h2 style="text-align:left;"><strong>Savings on Manpower</strong></h2><div style="text-align:left;">Since your servers are housed and managed offsite, it means that you can save on the manpower required to carry out the maintenance and fixing, if things go wrong. It’s well known that good, experienced IT people are expensive to employ. Obviously with your move to the cloud, some of your subscriptions will go to the service provider’s staffing costs but these will be considerably lower than employing your own people.</div><div style="text-align:left;"><br/></div><h2 style="text-align:left;"><strong>Hardware and Energy Savings</strong></h2><div style="text-align:left;">You will also be saving, as you will no longer have to purchase all the hardware and utilities to operate your data centre. Your computing costs will be reduced, as there is not the requirement to continually update and buy new equipment. So all in all, you will be saving on energy bills, as your servers will be fully utilised and not lying around idle, ultimately meaning a more efficient use of power and monthly subscriptions will also be lower.</div><div style="text-align:left;"><br/></div><h2 style="text-align:left;"><strong>Flexibility</strong></h2><div style="text-align:left;">Not only can you act rapidly to your business requirements by upscaling or downscaling your IT requirements, but there is a lot more flexibility for your staff as they will have access to files and data from their portable devices including mobile phones, tablets and laptops. This has also been found to be beneficial to staff as they enjoy a better work-life balance.</div><div style="text-align:left;"><br/></div><h2 style="text-align:left;"><strong>Security</strong></h2><div style="text-align:left;">Naturally nobody wants to lose expensive pieces of mobile equipment but more importantly, nobody wants to lose sensitive and important data and with the cloud you have greater security as you can access it from anywhere and you can remotely wipe any data if it gets into the wrong hands. <a href="http://www.relativity.co.uk/2012/07/what-is-the-cloud-part-2-security-and-privacy/">Security </a>is key to all businesses and although your data is located externally to your business, the locations are more secure than you can offer but due to the expertise of encrypting, partioning and backing up your data, if your data is accessed, it is unusable.</div><div style="text-align:left;"><br/></div><h2 style="text-align:left;"><strong>More Benefits...</strong></h2><ul><li style="text-align:left;">Increased collaboration</li><li style="text-align:left;">Work from any location</li><li style="text-align:left;">More competitive</li><li style="text-align:left;">Software updated automatically</li><li style="text-align:left;">Environmentally friendly</li></ul><div style="text-align:left;"><br/></div><div style="text-align:left;">If you are looking for help with your cloud computing services from a company who stays up to date with emerging technology, then get in touch with Relativity, based in Uckfield in East Sussex. If you aren't sure what Cloud services are, look at our five part series&nbsp;</div><div style="text-align:left;"><br/></div><h2 style="text-align:left;"><span style="font-weight:bold;"><a title="What is the Cloud – Part 1" href="http://www.relativity.co.uk/2012/07/what-is-the-cloud-part-1/">What is The Cloud</a>?</span></h2><ol><li dir="ltr" style="text-align:left;">You want to be more effective: <a title="Integration – its the name of the game" href="http://www.relativity.co.uk/2012/11/integration-its-the-name-of-the-game/">Integration </a>is the name of the game and it’s easier with Cloud based systems. &nbsp; Why not have some (or all) of your accounting or social media information available in your CRM system, or have people who follow you on Twitter automatically loaded into your CRM system which can then tweet out a thank yous.</li><li dir="ltr"><p dir="ltr" style="text-align:left;">You have seasonal work loads: If you supply a service or product that has a seasonal swing meaning you recruit temporary labour then the cloud services subscription model gives a better cash flow than traditional systems investments. You purchase user licences when you need them and for how long you need them, there is no need to invest in software licences for seats that are not used for a number of months a year.</p></li><li dir="ltr"><p dir="ltr" style="text-align:left;">Your current IT is outdated or you have little investment in existing IT: &nbsp; Some of the resistance from businesses we talk to about cloud services &nbsp;is their current investment in existing technology and sometimes we agree. &nbsp; But if you are about to buy new IT or invest in IT for the first time give Cloud serious consideration. A move to the cloud is not an all or nothing it can be in stages.</p></li><li dir="ltr"><p dir="ltr" style="text-align:left;">You’re no IT guru: You got into business because you liked what you do, not because you wanted to look after IT. &nbsp;Cloud services allow you and your business to make the most of enterprise level software but all the headache of looking after enterprise level hardware etc is left to an expert and its all part of the monthly price.</p></li><li dir="ltr"><p dir="ltr" style="text-align:left;">You spend your time installing updates: With Cloud services the software is always up to date and by choosing the right supplier you can expect it to be constantly being improved. No longer will you nee to run around machines installing updates and patches.</p></li><li dir="ltr"><p dir="ltr" style="text-align:left;">You want increased Productivity: People can work wherever they are, sometimes even without an internet connection. This means downtime associated with travelling and weather etc. can be overcome making staff more productive.</p></li><li dir="ltr"><p dir="ltr" style="text-align:left;">You have/want geographic independency yet have employees working close together: &nbsp;Collaboration features delivered by Cloud services allow teams of people to work together as if they were in the same room, even if they work on different continents.</p></li><li dir="ltr"><p dir="ltr" style="text-align:left;">You’re worried about Security &amp; Backup of your data: Cloud services are built with security in mind, teams of experts will know of and prevent security breaches without you even knowing about them, what’s even better is that they will be monitoring systems 24 hours a day 7 days a week 365 days a year.</p></li><li dir="ltr"><p dir="ltr" style="text-align:left;">You want your staff to be happier: Cloud services are delivered through a browser, the benefit of this being it does not matter if your staff want to use Desktop, Laptops, Tablets or Phones. &nbsp;Nor does it matter if the operating system of choice is Windows, OSx (Mac) or even Linux/Unix as long as the system can run an Internet Browser your staff can work. &nbsp; This means they can choose whatever hardware they like, perhaps even bringing their own device (BYOD) to work. &nbsp;Policies can also be put in place to help prevent data leaving your systems.</p></li><li dir="ltr"><p dir="ltr" style="text-align:left;">You can’t be not working due to a hardware failure: If a desktop PC stops working you can be up and running within five minutes just by starting up another PC or a laptop, and with services such as <a title="Google Docs" href="http://www.google.co.uk/enterprise/ex/6800293/apps/business/products/docs/">Google Docs</a> you can carry on working from where your desktop stop working as it is constantly saving as you type.</p></li></ol><div><div style="text-align:left;"><br/></div></div></div>

If you need to be truly mobile most cloud services come with Smartphone/Tablet apps that allow you to work wherever you are on what ever device you want. &nbsp; From a desktop to a smartphone, from a fully fledged Laptop to a barebones <a title="Chromebook" href="https://www.google.co.uk/intl/en/chrome/devices/">Chromebook</a>,&nbsp;cloud services deliver.</li><li style="text-align:left;"><strong>Communication and Collaboration:&nbsp;</strong>You may be small to start with but you will still need to discuss and work on your plan with your staff and trusted advisors. &nbsp;Cloud services makes communication (<a title="Skype" href="http://www.skype.com/en/">Skype</a>, <a title="Google Hangouts" href="https://www.google.com/intl/ALL_uk/%2B/learnmore/hangouts/">Google Hangouts</a> and <a title="VOIP from Voipfone" href="http://www.voipfone.co.uk/">VOIP</a>) easy and with collaboration built in from the ground up working in a team on a single document is a breeze with systems such as <a title="Google Drive" href="http://www.google.com/enterprise/apps/business/products.html#drive">Google Drive</a>.</li><li style="text-align:left;"><strong>Enterprise Level:&nbsp;</strong>Small businesses need to compete at a big business level. &nbsp;Small businesses have the personal touch advantage so being able to use the same sort of systems as a large business should put them in front. &nbsp; From CRM through to back end accounting, Cloud services allow the Small business to use enterprise level systems.</li><li style="text-align:left;"><strong>Concentrate on Your Business: &nbsp;</strong>As a new business owner you want to spend time building your business, you don't want to spend time making sure your data is backed up or implementing updates and patches to systems. Cloud services are centrally managed by experts far better than you at sorting out technical issues. &nbsp;Let them keep the lights on whilst you build your business.</li><li style="text-align:left;"><strong>Cost:&nbsp;</strong>Cost under pins reasons 1-5 , from being able to use hardware that is to hand and already purchased through to cheap communication &nbsp;and collaboration systems which a few years back would have been out of financial reach. &nbsp; But cloud systems are themselves cheaper than their desktop equivalent. Cloud &nbsp;suppliers embrace the rental model, purchase what you need when you need it. &nbsp;Need 10 users for an initial sales push then purchase 10 users just for the first 2 months and then roll back to your 3 permanent staff. &nbsp; If your needs are initially small you may even find that the systems are free!! Simple maths implies that over the years Cloud becomes more expensive but this its not simple maths when you factor in regular and irregular support, machine and software updates and downtime it is clear cloud wins hands down.</li></ol><div style="text-align:left;">So if you are considering starting a business, look to the Cloud for solutions.</div><div style="text-align:left;"><br/></div></div>

This is the same reaction that I would get 1 or 2 years back when I mentioned utilising Social Networking. Now Social Networking is standard practice yet cloud computing is still having to fight for its place in business but its becoming mainstream. Don't get me wrong, cloud computing isn't suitable for every situation. I am not suggesting we move your entire business over to the cloud, however business owners and senior executives need to understand cloud computing and adopt it where it makes financial sense. Louis Columbus has written an interesting article on <a title="Cloud Computing In Manufacturing" href="http://www.forbes.com/sites/louiscolumbus/2013/05/06/ten-ways-cloud-computing-is-revolutionizing-manufacturing/" target="_blank">Forbes.com</a>&nbsp;about how Cloud is revolutionising manufacturing. &nbsp;I can't say I know a lot about manufacturing but I can imagine some of the issues they have to suffer:</div><ul><li style="text-align:left;">just in time stock ordering</li><li style="text-align:left;">customer support</li><li style="text-align:left;">process changes</li><li style="text-align:left;">large distributed teams</li><li style="text-align:left;">distributed manufacturing.</li></ul><div style="text-align:left;"><br/></div><div style="text-align:left;">A few years ago the solutions to these issues were only available to big business, &nbsp;now with cloud computing they are&nbsp;available&nbsp;to &nbsp;much wider audience. The &nbsp;correct systems selection and integration is the key and with all new technology you should get advice (try a <a title="What is a Cloud Service Broker" href="http://www.relativity.co.uk/2013/05/what-is-a-cloud-service-broker/">Cloud Service Broker</a>). &nbsp;Whilst integration sounds daunting and expensive, it may be a simple point and click&nbsp;exercise&nbsp; &nbsp; All of this in a model which is easy to cash flow. So why is it still difficult to mention cloud computing?</div><div style="text-align:left;"><br/></div><div style="text-align:left;">&nbsp;Terminology plays a big part, SaaS, IaaS, PaaS all Cloud Computing all easy to&nbsp;misunderstand. &nbsp; But in reality ignore the terminology and review the possible Return on Investment in your business. Cost, if you have invested in technology in the last few years you still need to get value out of that investment, the easiest client to take to the cloud is one without existing infrastructure. Thats why new businesses adopt it, they have no previous cost to write off and the cost model is an easy one to cash flow. Infancy is also a&nbsp;hindrance&nbsp; Although cloud computing has been around for years (email is a cloud service in part as are websites etc) its still new to some people and they want other businesses to take the perceived risk first. &nbsp;Salesforce a cloud computing business&nbsp;supplying&nbsp;CRM services have been in business since 1999 and in 2010 did $1,306m in turnover, a substantial business, where is the infancy in that! Security, all cloud service suppliers have security as their number one priority, I would not&nbsp;hesitate&nbsp;in trusting Salesforce with data because they employ an army of security staff who are more diligent about backups,&nbsp;break-ins&nbsp;(physical and via the internet) than I could ever be. For a more in-depth review of Cloud Computing why not look at my 5 part series <a title="What is the Cloud – Part 1" href="http://www.relativity.co.uk/2012/07/what-is-the-cloud-part-1/">What is the Cloud</a>&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;">So next time you are&nbsp;reviewing&nbsp;systems and processes looking for cost savings and&nbsp;improvements, look to the cloud.</div><div style="text-align:left;"><br/></div></div>

In this section I look at those products built around storage not backup. &nbsp; Common Features:</div><ul><li style="text-align:left;">Synchronised folder(s) with the web.</li><li style="text-align:left;">Synchronisation across multiple computers, update one machine all machines updated.</li><li style="text-align:left;">Accessible from anywhere with a web connection (inc Smartphones and Tablets)</li><li style="text-align:left;">Folders can be shared with co-workers.</li><li style="text-align:left;">Dropbox and Box.net have team editions where sharing can be managed centrallly.</li><li style="text-align:left;">Automatic file versions to allow you to go back to previous versions.</li><li style="text-align:left;">Undelete allowing you to undelete accidentally deleted files.</li></ul><div style="text-align:left;"><br/></div><div style="text-align:left;"><a title="Dropbox" href="http://www.dropbox.com/" target="_blank">Dropbox</a> is the Grandaddy of online file storage, chances are if you are asked to share a group of files it will be via Dropbox. <a title="Box.net" href="http://www.box.com/" target="_blank">Box.net</a> started off life as a team based place to share files it has moved on to included local device sync’ing. <a title="Just Cloud" href="http://www.justcloud.com/" target="_blank">Just Cloud</a> is a fairly new comer to the service but bringing up the rear very confidently. <a title="Google Drive" href="https://drive.google.com/" target="_blank">Google Drive</a>, Whilst you have been able to store Google created content in the web for a long time it has only been recently that they have bought Google Drive to the table to complete with the likes of Dropbox etc so it can handle any file and syncs with your desktop and other computers. &nbsp;&nbsp;</div><div style="text-align:left;"><br/></div><h4 style="text-align:left;"><span style="font-weight:bold;">Things to Consider:&nbsp;&nbsp;</span></h4><ul><li style="text-align:left;">Cost, don’t be sucked in to ‘offers’ check what the price is outside the offer period.</li><li style="text-align:left;">If this is a strategic move and you are not too concerned by cashflow look to buy a year+, this normally equates to a good saving.</li><li style="text-align:left;">Are you just going to use it internally or use it with external colleagues, if the latter, then consider what they may already be using and what process they may have to go through to use a different system.</li><li style="text-align:left;">Are there security issues you need to deal with.</li></ul><div style="text-align:left;"><br/></div><h2 style="text-align:left;"><span style="font-weight:bold;">CRM/ERP</span></h2><div style="text-align:left;">&nbsp; CRM/ERP is the ideal app to run using a cloud model, &nbsp;the flexibility and scalability of users lends itself to the sales industry as does the ability to work where ever you have an internet connection (or not more recently!) &nbsp; Common Features:&nbsp;&nbsp;</div><ul><li style="text-align:left;">Full Sales Force Automation (SFA).</li><li style="text-align:left;">Workflows, eg Send confirmation and details to accounts of new sales.</li><li style="text-align:left;">Accessible from anywhere with a web connection.</li><li style="text-align:left;">Accessible from Smartphones and Tablets apps including offline access.</li><li style="text-align:left;">Add/Remove users as and when.</li><li style="text-align:left;">Phone system integration.</li></ul><div style="text-align:left;"><br/></div><div style="text-align:left;">&nbsp;&nbsp;<a title="Zoho CRM" href="http://crm.zoho.com/" target="_blank">Zoho</a> you can’t get too far researching CRM on the web without tripping over Zoho. Zoho’s portfolio of apps are built entirely around the Cloud and CRM is just one of their offerings. Whilst initially aimed at SME’s looking for a cheaper alternative to Salesforce its functionality has greatly increased meaning it’s a serious contender even against Salesforce.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;"><a title="Salesforce" href="http://www.salesforce.com/" target="_blank">Salesforce</a> the Original Cloud based CRM used by 1000’s of users across the globe.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;"><a title="CallPro CRM" href="http://www.callprocrm.co.uk/" target="_blank">CallPro CRM</a> if you are a call Centre this is an app for serious consideration, marketed as a Call Centric CRM its strengths include automatic dial and large scale email marketing and tracking capability fully integrated into the process driven system.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;"><a title="Netsuite" href="http://www.netsuite.com/" target="_blank">Netsuite</a> When Cloud based CRM was in its infancy and you wanted a comparison to Salesforce you need look no further than Netsuite, however Netsuite goes so much further than Salesforce with full integration into its own e-commerce offering for a front end presence on the web through to the backend of accounting and stock control.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;"><a title="SugarCRM" href="http://www.sugarcrm.co.uk/" target="_blank">SugarCRM</a> Part commercial part open source (i.e. free) SugarCRM can be run in the Cloud or on your servers, it has a massive following because of the open source version which developers enhance and customise.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;"><a title="SplendidCRM" href="http://www.splendidcrm.com/" target="_blank">SplendidCRM</a> This project initially came into life as a copy of SugarCRM but written in ‘Microsoft’ technology. There are however a number of cloud based systems that allow you to create your process and integrate it into your other apps giving you a 100% match to your business logic. &nbsp; <a title="Run My Process" href="http://www.runmyprocess.com/" target="_blank">Run My Process</a><a title="Intalio" href="http://www.intalio.com/" target="_blank">Intalio</a>&nbsp;&nbsp;</div><div style="text-align:left;"><br/></div><h2 style="text-align:left;"><span style="font-weight:bold;">Development / Custom Applications</span></h2><div style="text-align:left;">&nbsp; If you are keen to use the Cloud but cannot find an app that you can customise to the way you work, you could look to build your own, you may find that it’s not as costly as you might think. &nbsp; <a title="Bespoke Software Development" href="http://www.relativity.co.uk/services/business-software-development/" target="_blank">Bespoke Software Development</a>, probably the most complex so you would be unlikely to be able to do it yourself and will therefore require capital expenditure for third party developers. &nbsp; If you are logically minded you may be able to build it yourself. The solutions below give you the the benefit of a monthly cash flow that you would expect from cloud, rather than capital expenditure of bespoke. They also give you the option to DIY or use a developer consultant, any number of which that can be found online. &nbsp; <a title="Zoho Creator" href="http://www.zoho.com/creator/" target="_blank">Zoho Creator</a><a title="Salesforce Force.com" href="http://www.force.com/" target="_blank">Salesforce Force.com</a><a title="LongJump" href="http://www.longjump.com/database" target="_blank">LongJump</a><a title="Rollbase" href="http://www.rollbase.com/" target="_blank">Rollbase</a><a title="Netsuite SuiteCloud" href="http://www.netsuite.co.uk/portal/uk/platform/main.shtml" target="_blank">Netsuite SuiteCloud</a> &nbsp; Things to Consider</div><ul><li style="text-align:left;">Cost both the monthly and any support you may require to develop the application itself.</li><li style="text-align:left;">Can it integrate with external systems, how easy is the integration?</li><li style="text-align:left;">Security</li><li style="text-align:left;">Resilience of the platform on which your app is running. Netsuite, Zoho and Salesforce are basically using the underlying infrastructure from their other services to run the development apps. Things to Consider</div><ul><li style="text-align:left;">Who your audience is, what format will they require?</li><li style="text-align:left;">Ongoing support for things such as patches, on line editors are centrally managed by the supplier. You may find either one does the job you require. <a title="LiveDrive" href="http://www.livedrive.com/" target="_blank">Livedrive</a><a title="Mozy Pro" href="http://www.mozypro.co.uk/" target="_blank">Mozy Pro</a><a title="Carbonite" href="http://www.carbonite.co.uk/" target="_blank">Carbonite</a>&nbsp;</div><div style="text-align:left;"><br/></div><h4 style="text-align:left;"><span style="font-weight:bold;">Things to Consider:</span></h4><ul><li style="text-align:left;">Cost, you can end up with vastly different costs depending on your requirements now and in the future.</li><li style="text-align:left;">Future requirements, can the service you opt for now grow to what it needs to be as the transfer to another supplier in the future could be difficult.</li><li style="text-align:left;">Broadband Bandwidth/Restrictions, whilst most online backup systems constantly monitor your system for changes the systems are very clever and the actual data that is transferred during the day is relatively small unless you are creating lots of data (i.e lots of new images). &nbsp; However all the machines will have to do their first backup, this will lead to lots of traffic initially which could cause problems with internet access during the first few days.</li></ul><div style="text-align:left;">As I said previously these are just a few of the apps and services available in the Cloud covering some of the apps I deemed applicable to most businesses. <a title="GetApp" href="http://www.getapp.com/" target="_blank">GetApp</a> is a more comprehensive directory service covering more applications (287 CRM, 122 Project systems) and more types of services (CRM to Marketing, Timesheets to Performance Appraisals). &nbsp; I hope you now understand, whilst the Cloud is a vast and ever changing topic at its heart it is quite simple ( <a title="What is the Cloud – Part 1" href="http://www.relativity.co.uk/2012/07/what-is-the-cloud-part-1/" target="_blank">What is the Cloud - Part 1</a>). Whilst Security is always a concern the Cloud is probably more secure than you have with your current systems ( <a title="What is the Cloud – Part 2 Security and Privacy" href="http://www.relativity.co.uk/2012/07/what-is-the-cloud-part-2-security-and-privacy/" target="_blank">What is the Cloud - Part 2</a>). If you want a more mobile workforce using systems that are both flexible and scalable then the Cloud is a cost effective way to get what you want ( <a title="What is the Cloud – Part 3 Mobile and Always On" href="http://www.relativity.co.uk/2012/07/what-is-the-cloud-part-3-mobile-and-always-on/" target="_blank">What is the Cloud - Part 3</a>). However be aware that the Cloud is not always the solution and you should consider what your requirements are now and in the future ( <a title="What is the Cloud – Part 4 does it cost more?" href="http://www.relativity.co.uk/2012/07/what-is-the-cloud-part-4-does-it-cost-more/" target="_blank">What is the Cloud - Part 4</a>). I &nbsp;recently ran a small poll on LinkedIn asking if people&nbsp;preferred&nbsp;to rent rather than buying, (I guess the underlying question is do people prefer the cash flow delivered from renting over the perception/possibility of saving money through ownership), now I was not specific about what was being rented, although it linked to a <a title="End of Ownership" href="http://www.wired.co.uk/news/archive/2012-07/13/end-of-ownership" target="_blank">Wired article</a>&nbsp;which discussed renting things such as Pets (!!!) &nbsp;through to Cloud based systems. &nbsp; The poll results were as I expected a 50/50 split, and to be honest this is where I stand on the subject as well, there is just too much circumstance to make this an easy call. &nbsp; In this post &nbsp;I am going to run through a couple of very simple examples, but then at the end I want to leave you with a few thoughts as the use of the Cloud can be more than just a £ game.&nbsp; So let’s start with a system for a business of 5 users where the ideal setup would be a central email and calendaring system accepting emails on your business domain.&nbsp;&nbsp;</div><div style="text-align:left;"><br/></div><div dir="ltr"><table style="text-align:left;"><colgroup><col width="152"><col width="134"><col width="83"><col width="129"><col></colgroup><tbody><tr><td><strong>On Premise Solution</strong></td><td><strong>MS Exchange</strong></td><td><strong>&nbsp;</strong></td><td><strong>Cloud Solution</strong></td><td><strong>Google Apps for Busines</strong>s</td></tr><tr><td>Category</td><td>Solution</td><td>Cost</td><td>Solution</td><td>Cost</td></tr><tr><td>Software Requirements</td><td>MS Small Business Server</td><td>£600</td><td>Google Apps for Business Licence (*5)</td><td>£165</td></tr><tr><td>Hardware</td><td>Medium Sized Server</td><td>£1000</td><td></td><td>£0</td></tr><tr><td>Maintenance (patches etc)</td><td>20% PA</td><td>£320</td><td></td><td>£0</td></tr><tr><td>Total Cost First Year</td><td></td><td>£1920</td><td></td><td>£165</td></tr><tr><td>TCO 3 Years (5 Years)</td><td></td><td>£2560 (£3200)</td><td></td><td>£495 (£825)</td></tr><tr><td>Cost PA</td><td></td><td>£853 (£640)</td><td></td><td>£165 (£165)</td></tr></tbody></table></div><div style="text-align:left;"><br/></div><div style="text-align:left;">Throughout these examples I will make some assumptions, these include assuming the cost of training is the same for both and therefore excluded from a comparison, that after 3/5 years the on premises solutions will need a re-investment to an extent of starting again, and that the PC’s required are the same, in reality the On Premise PC’s are likely to require more investment. &nbsp; But Offices are more than just Email, so now lets add Document and Spreadsheet creation and also a CRM package.&nbsp;&nbsp;</div><div style="text-align:left;"><br/></div><div dir="ltr"><table style="text-align:left;"><colgroup><col><col><col><col><col></colgroup><tbody><tr><td>On Premise Solution</td><td>MS-Office and Sage CRM</td><td></td><td>Cloud Solution</td><td>Google Apps for Business and Zoho CRM (medium package)</td></tr><tr><td>Category</td><td>Solution</td><td>Cost</td><td>Solution</td><td>Cost</td></tr><tr><td>Software Requirements</td><td>MS Office Standard (*5) Sage CRM</td><td>£775 £1100</td><td>Google Apps (*5) (Already owned) Zoho CRM (*5)</td><td>£0 £450</td></tr><tr><td>Hardware</td><td>Medium Sized Server (already owned)</td><td>£0</td><td></td><td>£0</td></tr><tr><td>Maintenance</td><td>20% PA</td><td>£375</td><td></td><td>£0</td></tr><tr><td>Total Cost First Year</td><td></td><td>£2250</td><td></td><td>£450</td></tr><tr><td>TCO 3 Years (5 Years)</td><td></td><td>£3000 (£3750)</td><td></td><td>£1350 (£2250)</td></tr><tr><td>Cost PA</td><td></td><td>£1000 (£750)</td><td></td><td>£450 (£450)</td></tr><tr><td>Running Total</td><td></td><td>£1853 (£1390)</td><td></td><td>£615 (£615)</td></tr></tbody></table></div><div style="text-align:left;"><br/></div><div style="text-align:left;">Admittedly Google Apps for Business may not be suitable for every business, if that’s the case you could look at a hybrid such as Office 365 from Microsoft. &nbsp; Final I am going to add in some document storage, again I am going to use Google Apps as this is where my business data is stored but there are any number of different services for document storage.&nbsp;&nbsp;</div><div style="text-align:left;"><br/></div><div dir="ltr"><table style="text-align:left;"><colgroup><col><col><col><col><col></colgroup><tbody><tr><td>On Premise Solution</td><td>Existing Server with 50GB available to each user</td><td></td><td>Cloud Solution</td><td>Google Drive</td></tr><tr><td>Category</td><td>Solution</td><td>Cost</td><td>Solution</td><td>Cost</td></tr><tr><td>Software Requirements</td><td></td><td>£0</td><td>Extra Storage (50GB per user)</td><td>£285</td></tr><tr><td>Hardware</td><td>Medium Sized Server (already owned)</td><td>£0</td><td></td><td>£0</td></tr><tr><td>Maintenance</td><td>20% PA</td><td>£200</td><td></td><td>£0</td></tr><tr><td>Total Cost First Year</td><td></td><td>£200</td><td></td><td>£285</td></tr><tr><td>Total Cost over 3 Years (5 years)</td><td></td><td>£600 (£1000)</td><td></td><td>£855 (£1425)</td></tr><tr><td>Cost PA</td><td></td><td>£200 (£200)</td><td></td><td>£285 (£285)</td></tr><tr><td>Running Total</td><td></td><td>£2053 (£1590)</td><td></td><td>£900 (£900)</td></tr></tbody></table></div><div style="text-align:left;"><br/></div><div style="text-align:left;">So the final costs On Premise: £2053 per annum over 3 year or £1590 over 5 In the Cloud: £900 per annum over 3 years of £900 over 5 &nbsp; So looking at it very simply it's a no brainer, however if you have a legacy app such as an accounting package that cannot be moved, a lot of your cost will still be required even if you did move other functionality to the cloud. If we were to assume the £853 pa for the Small Business Server had to be invested for this one legacy app then the figures become much closer and over 5 years the difference is just £50 pa, finally you should not underestimate the cost to move to the cloud, looking at both these scenarios the On Premise solution would win based on just cost. So if you are a start up business using Cloud Computing is a simple decision, if you are an established business with legacy apps, an investment in infrastructure and lots of on premises data and information it becomes a lot less clear. However even if the simple maths does not work there are the non tangible things you have to consider of the Cloud.&nbsp;&nbsp;</div><div style="text-align:left;"><br/></div><ul><li style="text-align:left;"><strong>Flexibility in Scalability</strong>: As you pay per user the system grows as you do, users can be added and removed at the click of a button.</li><li style="text-align:left;"><strong>Cash flow</strong>: As users can be added and removed at will and therefore paid for at will, cashflow is not hampered by swings in staff or large expansions.</li><li style="text-align:left;">No large upfront capital outlay or ‘end of life refresh’ outlay for hardware and software.</li><li style="text-align:left;"><span style="font-weight:bold;">Flexibility of Work</span>: Whilst work life balance has to be considered the ability for staff to work from home or whilst travelling can be very advantageous to both the business and the staff.</li><li style="text-align:left;"><span style="font-weight:bold;">Reduced Down Time</span>: No system is resilient to downtime and outages but Cloud systems have experts monitoring for issues 24/7 with quick fix times.</li><li style="text-align:left;"><strong>Collaboration</strong>: Cloud systems are built around&nbsp;collaboration&nbsp;allowing users to streamline their team working process. As an example, it’s not unusual for team members to send reports around each adding, reviewing and amending as they go, at the end of the project there are multiple copies on multiple machines leading to confusion. With a Cloud solution you could create a team workspace where everyone works on the same document, perhaps at the same time!.</li><li style="text-align:left;">Reduced exposure to lost time/money through hardware loss/theft.</li><li style="text-align:left;">Patching is handled by the Cloud supplier, your systems are therefore always up to date with little or no downtime and at no additional cost.</li><li style="text-align:left;"><span style="font-weight:bold;">No Cost Upgrades</span>: As you are renting the Software as a Service all upgrades are supplied within your rental fee, no capital outlay to update in the future and you always have the most recent version.</li></ul><div style="text-align:left;">&nbsp;</div><div style="text-align:left;">Hopefully, you now understand the huge savings that can be delivered from Cloud based solutions, but any decisions should be made with the business process and strategy in mind. &nbsp; My final post in this five part series will look at some of the apps available out there in the Cloud. &nbsp;&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;"><a title="What is the Cloud – Part 5 What Cloud Apps are Available" href="http://www.relativity.co.uk/2012/08/what-is-the-cloud-part-5-what-cloud-apps-are-available/" target="_blank">What is the Cloud –&nbsp;&nbsp;Part 5 What Cloud Apps are Available</a></div><strong id="internal-source-marker_0.015347047941759229"></strong></div>
