Now what?

For new users, navigating Zoho can feel a bit overwhelming at first glance. With so many apps, menus, dashboards, and features, it's easy to feel lost in the sea of options. But don't worry - with a few key strategies, you'll be navigating Zoho like a pro in no time.

Here at Relativity, a Zoho Partner based in East Sussex, we’ve spent years compiling some top tips and tricks to help you customize your Zoho experience for maximum efficiency. Here’s what you need to know to get started:

Managing the Menu

One of the biggest hurdles new users face is getting a handle on Zoho's extensive menu system. With dozens of apps across categories like sales, marketing, finance, and more, it can be tough to find what you need. Start here:

The Hamburger Menu Saviour: Look for the ubiquitous hamburger menu (three horizontal lines) in the top left corner. This is your gateway to all the core features and functionalities of the application.

Search is Your Friend: Don't waste time sifting through menus. Use the search bar located at the top of most Zoho applications to find specific features or functionalities in a flash.

Simplify & Streamline: Take some time to prune your menu down to only the apps you really use. Just click the "Edit Menu" option, then uncheck any apps you don't need day-to-day. A streamlined menu will be much less overwhelming.

Bookmark Your Favourites: For functions you use regularly, bookmark them. Click the star icon next to the feature name in the menu to create a custom shortcut list for quick access

Crafting the Perfect Dashboard

Zoho dashboards are powerful tools for visualizing your data. The key is to personalise them by adding the widgets, charts, logs, and other components you need most.

Customise: Most Zoho dashboards come pre-populated with widgets. Don't be afraid to drag, drop, resize, and rearrange them to suit your workflow.

Add the Information that Matters: Zoho allows adding custom widgets to display data most relevant to you. Click the "Add" button, then browse components by category. We recommend adding ones for any apps or processes you use frequently, so you have quick access to important info and actions.

Filter Finesse: Zoho dashboards often allow filtering data by date, user, or other criteria. Leverage these filters to get granular insights and avoid information overload.

Master the Keyboard Shortcuts

If you really want to zoom through your Zoho workflow, memorize some keyboard shortcuts. A few favorites:

Ctrl+G (or Cmd+G on Mac) to access the global search function directly. This is a super-fast way to find anything within the application.

Ctrl+K to quickly search any app

Ctrl+L to go straight to your calendar

Ctrl+Shift+D to immediately create a new event.

You can find the full list by clicking the "?" icon > "Keyboard Shortcuts."

Top tip: Many Zoho features offer contextual keyboard shortcuts. Look for keyboard shortcut hints displayed next to menu items or buttons to discover them.

Stick with the Apps You Know

With so many Zoho apps on offer, it can be tempting to want to use them all. Our advice is to stick to mastering the core apps you know you'll use regularly, at least at first. There's a bit of a learning curve, so don't spread yourself too thin trying to adopt every single app right away. Focused mastery of the key apps for your role and tasks will serve you much better than a shallow familiarity across dozens of programs.

Embrace Zoho's Help Resources

Zoho offers a wealth of resources to help you navigate the interface and become a Zoho master.

The Mighty Help Button: Every Zoho application has a handy help button (often a question mark icon) located in the top right corner. Clicking it gives you contextual help articles and video tutorials.

Zoho University is Your Ally: Zoho Universityhttps://www.zoho.com/spark/ is a treasure trove of learning materials. Explore their courses, tutorials, and webinars to become a Zoho whiz.

Don't Be Afraid to Ask

Finally, don’t forget that you have a whole community of fellow Zoho users and experts to lean on when you need help. Whether posting questions on forums, chatting on Slack groups, or asking a Zoho expert like us, don't be afraid to seek out assistance.

With these strategies in your toolkit, you'll go from feeling like a newbie to an experienced Zoho pro before you know it. Remember, practice makes perfect. The more you explore Zoho's features and personalize your workspace, the more comfortable and productive you'll become. Welcome to the world of Zoho – happy Zoho-ing!

How can Relativity help you

For SMEs, Zoho offers a compelling solution by bringing together everything a business needs under one roof. Its integrated ecosystem ensures seamless operation, data consistency, and security, all while being highly customisable and scalable.

Relativity is a Zoho Authorised Partner, and Zoho Certified Professional Developer in East Sussex, supporting clients throughout the UK and the world. After leaving Europe, the UK now has its own version known as the UK-GDPR (United Kingdom General Data Protection Regulation). This took effect on January 31, 2020. It runs alongside the Data Protection Act of 2018 and the PECR and governs all processing of personal data from individuals located inside the United Kingdom. The UK-GDPR is almost completely identical to the EU’s GDPR. It means your website must obtain consent from users before processing their personal data via cookies and third-party trackers. Consent must be stored safely and documented. Try these simple steps to review and optimise your processes—because small changes can lead to big gains!

Our process is fine, we are as efficient as we could be. Are you sure? Lets look at the process to make a cup of tea: Fill kettle, wash dirty cup, put in tea bag and sugar in cup, turn on kettle, wait to boil, pour boiled water into cup, get milk out of fridge, remove tea bag add milk as required. It’s a process that gets you a cup of tea but is it an efficient process. Not so much, turning the kettle on as soon as you fill it will reduce the time to make a cup of tea as would getting the milk out whilst the kettle boils or what about washing up cups whilst waiting for the kettle to boil will save you doing it next time. Now this may only save you say 10 seconds, but assume you have 10 cups a day, thats 100 seconds, over 260 days of the year that’s 26000 seconds or nearly a day.

Ok, so analysing and streamlining how your staff make the tea may not be the best place to start but looking around your business for small savings in efficiency may make a big difference in your office. So how should you go about reviewing your process? What should you consider?

Start simple, try the process yourself. You may have invented the process before you got staff, but has it changed since then and if so is it for the better? If its your process get someone else to review it, you may be too close to it to see the inefficiency.

Are all the all steps sequential or do some work in parallel, if the latter, can you start the parallel section sooner.

Do the parallel sections finish together? If not will adding resources benefit so that no step is waiting for another to finish

Can technology be used?

Does the timing of the process make a difference? Consider the time of day, day of the week or month or perhaps even the time of year.

Talk to the third parties (external to your business) have their processes changed and can you benefit from that?

Processes in your business should never be static, try to review them regularly.

All very simple points to remember and that is what the process in your business should be, simple. Even functional systems can be optimised for efficiency, cost-effectiveness, and alignment with your goals. But how do you stay on top of it all?

In a recent post I had suggested that you only fix the broken things to maximise your investment in systems and processes, I stand by this, however it does not mean you should not look to fix everything in your business even if it is not broken. Everything in the business world is changing quickly and if you do not constantly review you may get left behind or not be making the most of your investment. Obviously fixing the things that don’t work is a priority but there is always value in improving those things which are already working, making them slicker, easier, more intuitive and ultimately more cost effective, but make sure any changes are aligned with where you want the business to go. You are busy running your business, so how can you keep on top of that review?

Here are 5 Ideas:

1. Twitter, LinkedIn, Facebook, Blogs: Follow people in your industry, follow your suppliers, not just your product suppliers but also your technology and service suppliers. What you are looking for is the golden nugget of information that says a supplier has a new service or Tips and Tricks for using the systems you use.

Pros: Can be reviewed at your leisure Cons: Sorting the wheat from the chaff

2. Interact with your customers: Make sure you have an effective channel to your customers, currently this may be one way, i.e your marketing, make it two way and listen to what your clients are saying. They may have issues, some may even have ideas. Pros: They are your life blood who better to listen too for improvements Cons: Can be subjective not objective

3. Back to the floor: It may have been some time since you took a customer order or worked with a supplier as you have staff to do that, once in a while do their job. What better way is there of finding improvements to your systems and processes. May be take this a step further and have rotating jobs so that different people end up working in different areas of the business, but gather feedback, this also has the added benefit of reducing the bottlenecks caused by ‘specialist’ people being on holiday/off sick. Pros: Kill two birds with one stone, i.e perform holiday or sickness cover Cons: You hired someone to do the job because you didn’t want too!

4. Open door policy: As your business gets bigger make sure you are available to your staff, listen to what they have to offer. Pros: Builds rapport and trust with your employees Cons: Be careful about in action on suggestions bought to you.

5. Surround yourself by partners: Partners, such as Relativity who are separate to the business yet understand it and who are able to be objective with a separate pair of eyes, and don’t be afraid to talk to them, I can’t speak for partners you may already have but we are more than happy to chew the fat if you are buying the coffee :-) Pros: A lot of value and expertise for what could be very little if any investment Cons: There aren't any, I would say that wouldn’t I.
