This strategic roadmap will guide you in identifying the specific IT capabilities needed to support and accelerate your goals. For instance, a company aiming to improve customer service might invest in a CRM system, while a business focusing on efficiency might prioritize automation tools.

Prioritize Business Process Optimization

Many SMEs fall into the trap of implementing new technologies without first streamlining their existing business processes. However, automating inefficient processes will only amplify their flaws. If you aren't sure what Cloud services are, look at our five part series

What is The Cloud?

You want to be more effective: Integration is the name of the game and it’s easier with Cloud based systems. Why not have some (or all) of your accounting or social media information available in your CRM system, or have people who follow you on Twitter automatically loaded into your CRM system which can then tweet out a thank yous.

You have seasonal work loads: If you supply a service or product that has a seasonal swing meaning you recruit temporary labour then the cloud services subscription model gives a better cash flow than traditional systems investments. You purchase user licences when you need them and for how long you need them, there is no need to invest in software licences for seats that are not used for a number of months a year.

Your current IT is outdated or you have little investment in existing IT: Some of the resistance from businesses we talk to about cloud services is their current investment in existing technology and sometimes we agree. But if you are about to buy new IT or invest in IT for the first time give Cloud serious consideration. A move to the cloud is not an all or nothing it can be in stages.

You’re no IT guru: You got into business because you liked what you do, not because you wanted to look after IT. Cloud services allow you and your business to make the most of enterprise level software but all the headache of looking after enterprise level hardware etc is left to an expert and its all part of the monthly price.

You spend your time installing updates: With Cloud services the software is always up to date and by choosing the right supplier you can expect it to be constantly being improved. No longer will you nee to run around machines installing updates and patches.

You want increased Productivity: People can work wherever they are, sometimes even without an internet connection. This means downtime associated with travelling and weather etc. can be overcome making staff more productive.

You have/want geographic independency yet have employees working close together: Collaboration features delivered by Cloud services allow teams of people to work together as if they were in the same room, even if they work on different continents.

You’re worried about Security & Backup of your data: Cloud services are built with security in mind, teams of experts will know of and prevent security breaches without you even knowing about them, what’s even better is that they will be monitoring systems 24 hours a day 7 days a week 365 days a year.

You want your staff to be happier: Cloud services are delivered through a browser, the benefit of this being it does not matter if your staff want to use Desktop, Laptops, Tablets or Phones. Nor does it matter if the operating system of choice is Windows, OSx (Mac) or even Linux/Unix as long as the system can run an Internet Browser your staff can work. This means they can choose whatever hardware they like, perhaps even bringing their own device (BYOD) to work. Policies can also be put in place to help prevent data leaving your systems.

You can’t be not working due to a hardware failure: If a desktop PC stops working you can be up and running within five minutes just by starting up another PC or a laptop, and with services such as Google Docs you can carry on working from where your desktop stop working as it is constantly saving as you type.

If you need to be truly mobile most cloud services come with Smartphone/Tablet apps that allow you to work wherever you are on what ever device you want. From a desktop to a smartphone, from a fully fledged Laptop to a barebones Chromebook, cloud services deliver.

Communication and Collaboration: You may be small to start with but you will still need to discuss and work on your plan with your staff and trusted advisors. Cloud services makes communication (Skype, Google Hangouts and VOIP) easy and with collaboration built in from the ground up working in a team on a single document is a breeze with systems such as Google Drive.

Enterprise Level: Small businesses need to compete at a big business level. Small businesses have the personal touch advantage so being able to use the same sort of systems as a large business should put them in front. From CRM through to back end accounting, Cloud services allow the Small business to use enterprise level systems.

Concentrate on Your Business: As a new business owner you want to spend time building your business, you don't want to spend time making sure your data is backed up or implementing updates and patches to systems. Cloud services are centrally managed by experts far better than you at sorting out technical issues. Let them keep the lights on whilst you build your business.

Cost: Cost under pins reasons 1-5 , from being able to use hardware that is to hand and already purchased through to cheap communication and collaboration systems which a few years back would have been out of financial reach. But cloud systems are themselves cheaper than their desktop equivalent. Cloud suppliers embrace the rental model, purchase what you need when you need it. Need 10 users for an initial sales push then purchase 10 users just for the first 2 months and then roll back to your 3 permanent staff. If your needs are initially small you may even find that the systems are free!! Simple maths implies that over the years Cloud becomes more expensive but this its not simple maths when you factor in regular and irregular support, machine and software updates and downtime it is clear cloud wins hands down.

So if you are considering starting a business, look to the Cloud for solutions.

This is the same reaction that I would get 1 or 2 years back when I mentioned utilising Social Networking. Now Social Networking is standard practice yet cloud computing is still having to fight for its place in business but its becoming mainstream. Don't get me wrong, cloud computing isn't suitable for every situation. I am not suggesting we move your entire business over to the cloud, however business owners and senior executives need to understand cloud computing and adopt it where it makes financial sense. Louis Columbus has written an interesting article on Forbes.com about how Cloud is revolutionising manufacturing. I can't say I know a lot about manufacturing but I can imagine some of the issues they have to suffer:

just in time stock ordering

customer support

process changes

large distributed teams

distributed manufacturing.

A few years ago the solutions to these issues were only available to big business, now with cloud computing they are available to much wider audience. The correct systems selection and integration is the key and with all new technology you should get advice (try a Cloud Service Broker). Whilst integration sounds daunting and expensive, it may be a simple point and click exercise All of this in a model which is easy to cash flow. So why is it still difficult to mention cloud computing?

Terminology plays a big part, SaaS, IaaS, PaaS all Cloud Computing all easy to misunderstand. But in reality ignore the terminology and review the possible Return on Investment in your business. Cost, if you have invested in technology in the last few years you still need to get value out of that investment, the easiest client to take to the cloud is one without existing infrastructure. Thats why new businesses adopt it, they have no previous cost to write off and the cost model is an easy one to cash flow. Infancy is also a hindrance Although cloud computing has been around for years (email is a cloud service in part as are websites etc) its still new to some people and they want other businesses to take the perceived risk first. Salesforce a cloud computing business supplying CRM services have been in business since 1999 and in 2010 did $1,306m in turnover, a substantial business, where is the infancy in that! Security, all cloud service suppliers have security as their number one priority, I would not hesitate in trusting Salesforce with data because they employ an army of security staff who are more diligent about backups, break-ins (physical and via the internet) than I could ever be. For a more in-depth review of Cloud Computing why not look at my 5 part series What is the Cloud

So next time you are reviewing systems and processes looking for cost savings and improvements, look to the cloud.

Well, oK perhaps they are the bain of our lives but I came across a website recently that not only makes passwords fun for a few seconds but may also open your eyes a little to how easy it may be to crack your password.

The website http://howsecureismypassword.net/ is a fun look at how hard (or easy) it may be for your password to be cracked. Have a go, but before you do a word of warning, I do not know who is behind this website, and whether you should trust it with your real passwords. Being hyper sensitive when I tried it, I offset my passwords on the keyboard and where I may have a word in my password I used a similar word of the same length.

My passwords ranged from 2 years to 25 thousand years to crack. So once you have had some fun, think about your password, what happens if you add one more character perhaps a symbol, my 2 year password changed to 6 thousand years just by adding a symbol to the front and back.

So, having had a play you now have an ultra secure password, what’s the next mistake you could make? That’s simple, use the same password on all your accounts! this is almost as big a no no as a simple password. Why? Consider you use your secure password to log into LinkedIn, and then LinkedIn’s server gets hacked and the passwords looted ( BBC News). The hacker now has a source of secure and insecure passwords which they then use to attack other and perhaps financial type websites. It may mean trying millions of password/username variations but these hackers will be using thousands of computers to break the work down. But now it’s getting hard, I have a complex password and it should be different for each website I log into.

How can this be made simpler:

1. Consider making the password relevant to the website or its function. So lets use a hypothetical email website, I could use the password iliketoemail this calculates to 266 days.

2. Make it harder by adding capitals ILikeToEmail is 3 thousand years.

3. Perhaps add a symbol to the mix ILikeToE-Mail is 4 million years.

4. Perhaps use a longer sentence ‘I Like to email all my friends and relatives from Google Mail’ and then just use the first letter of each word and throw in some punctuation ?IlTeAmFaRfGm? calculates to 655 Million years.

So there you go hard to crack simple to remember. But if that is still too complicated you could look to a service such as LastPass.com, a secure service that creates, stores, and auto fills your passwords so you only need to remember one password to log into the main system.

Do you have a solution to this age old and increasing problem? This post explores the physical and digital security measures protecting your data in the cloud and why, in many cases, it's more secure.

In my last article I talked about the basics of Cloud Computing and the definition, for those of you catching up it can be read here. Today I would like to talk about security and privacy of data. When I talk to people about Cloud Computing security is often a major concern, ‘its my data I would not trust it to anyone else’ is something I often hear. There are two components to security, physical location and privacy. Lets deal with physical location, I have only come across one client who comes close to a level of security that Cloud suppliers consider when they build their infrastructure, and thats because they are in the business.

Take a look at the video of Googles’ Security measures at one of its data centres. So physical barriers, barbed wire, 24/7 security staff, video monitoring, intrusion detection, retina and biometric access scanners, fire protection and extinguishing systems. We all have this protecting our data don’t we? Clearly not, as a potential customer of Cloud Computing, do your due diligence well, but you are going to have to face the fact companies such as Google, Amazon and Microsoft can physically protect your data better than you can. Privacy of the data that is stored again is better handled by other professionals, whilst I might focus on Google here you can be rest assured the other big players will be implementing the same standards or striving to.

On disk at the data centre your data is encrypted, your files have random names and not identifiable as yours. This makes it virtually impossible for someone in the data centre to access and read any data and even if they did they could not attribute it to a specific account. As you will have seen in the video, end of life hardware is securely destroyed to stop the chance of any data ending up somewhere it shouldn’t be even though it is encrypted. Google is committed to security at all levels, this can be seen through their ISO 27001 certification and security Audits. Again I challenge the reader to be implementing such stringent rules to the privacy of the data stored on their own servers.

So the data is physically secure and the data is private but can I access the data securely, you guessed it here is the rub, if you already use Google Mail or Hotmail you will see that the websites are delivered securely (it says https at the start of the URL). So from the moment you click save or send and data is transmitted to and from the Google or Microsoft servers it is 128 bit encrypted (pretty much unbreakable), so no one can snoop on it successfully between your PC and the Server. Once it is on your PC/Device it becomes readable. Security’s weak spot has always been and will continue to be end point, can the end point be secured?

There are ways and means. You can security vet your staff, install anti snooping screens, install, maintain and update all manner of Antivirus, Spy and Ad ware software, and you could even implement encryption of the data stored on your PC, some of this becomes a lot easier once you adopt the cloud, for instance as admin to my Google Apps account, I can bar people at a moments notice from all the systems they use, I can even remote lock or even wipe their mobile device.

If you are not doing most or all of these locally then I propose that the privacy of your data on the Cloud Suppliers computers is not really an issue. I have done my due diligence, most risk is perceived risk rather than actual and I take the steps required to protect myself and my clients locally, and I am more than happy to leave my remote security and privacy issues in the hands of experts. Previous What is the Cloud - Part 2 Security and Privacy Next What is the Cloud - Part 3 Mobile and Always On
