A few years ago this would have filled me with panic. &nbsp;When was the last time I backed up, did it work and where is it!!! Where are my application CD’s and on top of that where are the Licence Keys!!!. &nbsp;Hours later with beads of sweat running down my forehead I <strong>may</strong> have had my system back up and running and if I was lucky I may have lost only a days worth of work.</p><p dir="ltr" style="text-align:left;"><br/></p><div style="text-align:left;">Today, however was a different story, my only fret was how to get my old museum piece of a PC and its screen sitting on my desk nicely :-). &nbsp;The situation was all different because of the adoption of cloud services. So who do I have to say thank you to.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;">Thanks to <a title="Google Apps For Business" href="http://www.google.com/intx/en_uk/enterprise/apps/business/products.html">Google Apps for Business </a>I could carry on reviewing a client proposal, making edits and changes as needed and keep track of time spent on client projects in my project spreadsheets. I was also able to book client visits in my calendar of course send and review all of my emails.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;">Thanks to <a title="Dropbox" href="https://www.dropbox.com/" target="_blank">Dropbox</a>, which was already on my PC, all my ‘legacy’ work files were synchronised should I need to work on them.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;">Thanks to <a title="Wave" href="https://www.waveapps.com/" target="_blank">Wave</a>&nbsp;I could invoice my clients and do a little financial reconciling.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;">Thanks to <a title="CapsuleCRM" href="http://capsulecrm.com/" target="_blank">Capsule CRM</a> I could track and chase up my sales pipeline and leads.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;">Thanks to <a title="Zoho Creator" href="https://www.zoho.com/creator/" target="_blank">Zoho Creator</a> I could finish developing the online database and CRM Integration project for a client that I had started last week.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;">Thanks to <a title="Hootsuite" href="https://hootsuite.com/" target="_blank">Hootsuite</a>&nbsp;and <a title="Feedly" href="http://cloud.feedly.com/#welcome" target="_blank">Feedly</a>&nbsp;I was able to keep up with my social media and news feeds.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;">Thanks to <a title="Any.do" href="http://www.any.do/" target="_blank">Any.Do</a> I did not forget the tasks I had scheduled for today.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;">And finally thanks to the <a title="Chrome Browser" href="https://www.google.com/intl/en/chrome/browser/" target="_blank">Chrome browser</a> which was the only application I needed on my old PC to access all these systems. This list is finite and I do urge that if you are looking to move to the cloud and do not find what you want here to dig a little deeper via Google or Bing as there are plenty of other offerings.&nbsp;&nbsp;</div><div style="text-align:left;"><br/></div><h2 style="text-align:left;"><span style="font-weight:bold;">File Storage and Sharing</span></h2><div style="text-align:left;">&nbsp; Back at the beginning of cloud storage, online backup and cloud storage were two very distinct applications, not so today, you will find many features that cross over between the two. In this section I look at those products built around storage not backup. &nbsp; Common Features:</div><ul><li style="text-align:left;">Synchronised folder(s) with the web.</li><li style="text-align:left;">Synchronisation across multiple computers, update one machine all machines updated.</li><li style="text-align:left;">Accessible from anywhere with a web connection (inc Smartphones and Tablets)</li><li style="text-align:left;">Folders can be shared with co-workers.</li><li style="text-align:left;">Dropbox and Box.net have team editions where sharing can be managed centrallly.</li><li style="text-align:left;">Automatic file versions to allow you to go back to previous versions.</li><li style="text-align:left;">Undelete allowing you to undelete accidentally deleted files.</li></ul><div style="text-align:left;"><br/></div><div style="text-align:left;"><a title="Dropbox" href="http://www.dropbox.com/" target="_blank">Dropbox</a> is the Grandaddy of online file storage, chances are if you are asked to share a group of files it will be via Dropbox. <a title="Box.net" href="http://www.box.com/" target="_blank">Box.net</a> started off life as a team based place to share files it has moved on to included local device sync’ing. <a title="Just Cloud" href="http://www.justcloud.com/" target="_blank">Just Cloud</a> is a fairly new comer to the service but bringing up the rear very confidently. <a title="Google Drive" href="https://drive.google.com/" target="_blank">Google Drive</a>, Whilst you have been able to store Google created content in the web for a long time it has only been recently that they have bought Google Drive to the table to complete with the likes of Dropbox etc so it can handle any file and syncs with your desktop and other computers. &nbsp;&nbsp;</div><div style="text-align:left;"><br/></div><h4 style="text-align:left;"><span style="font-weight:bold;">Things to Consider:&nbsp;&nbsp;</span></h4><ul><li style="text-align:left;">Cost, don’t be sucked in to ‘offers’ check what the price is outside the offer period.</li><li style="text-align:left;">If this is a strategic move and you are not too concerned by cashflow look to buy a year+, this normally equates to a good saving.</li><li style="text-align:left;">Are you just going to use it internally or use it with external colleagues, if the latter, then consider what they may already be using and what process they may have to go through to use a different system.</li><li style="text-align:left;">Are there security issues you need to deal with.</li></ul><div style="text-align:left;"><br/></div><h2 style="text-align:left;"><span style="font-weight:bold;">CRM/ERP</span></h2><div style="text-align:left;">&nbsp; CRM/ERP is the ideal app to run using a cloud model, &nbsp;the flexibility and scalability of users lends itself to the sales industry as does the ability to work where ever you have an internet connection (or not more recently!) &nbsp; Common Features:&nbsp;&nbsp;</div><ul><li style="text-align:left;">Full Sales Force Automation (SFA).</li><li style="text-align:left;">Workflows, eg Send confirmation and details to accounts of new sales.</li><li style="text-align:left;">Accessible from anywhere with a web connection.</li><li style="text-align:left;">Accessible from Smartphones and Tablets apps including offline access.</li><li style="text-align:left;">Add/Remove users as and when.</li><li style="text-align:left;">Phone system integration.</li></ul><div style="text-align:left;"><br/></div><div style="text-align:left;">&nbsp;&nbsp;<a title="Zoho CRM" href="http://crm.zoho.com/" target="_blank">Zoho</a> you can’t get too far researching CRM on the web without tripping over Zoho. Zoho’s portfolio of apps are built entirely around the Cloud and CRM is just one of their offerings. Whilst initially aimed at SME’s looking for a cheaper alternative to Salesforce its functionality has greatly increased meaning it’s a serious contender even against Salesforce.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;"><a title="Salesforce" href="http://www.salesforce.com/" target="_blank">Salesforce</a> the Original Cloud based CRM used by 1000’s of users across the globe.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;"><a title="CallPro CRM" href="http://www.callprocrm.co.uk/" target="_blank">CallPro CRM</a> if you are a call Centre this is an app for serious consideration, marketed as a Call Centric CRM its strengths include automatic dial and large scale email marketing and tracking capability fully integrated into the process driven system.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;"><a title="Netsuite" href="http://www.netsuite.com/" target="_blank">Netsuite</a> When Cloud based CRM was in its infancy and you wanted a comparison to Salesforce you need look no further than Netsuite, however Netsuite goes so much further than Salesforce with full integration into its own e-commerce offering for a front end presence on the web through to the backend of accounting and stock control.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;"><a title="SugarCRM" href="http://www.sugarcrm.co.uk/" target="_blank">SugarCRM</a> Part commercial part open source (i.e. free) SugarCRM can be run in the Cloud or on your servers, it has a massive following because of the open source version which developers enhance and customise.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;"><a title="SplendidCRM" href="http://www.splendidcrm.com/" target="_blank">SplendidCRM</a> This project initially came into life as a copy of SugarCRM but written in ‘Microsoft’ technology. Like Sugar it has both Commercial and Open Source versions.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;"><a title="CapsuleCRM" href="http://www.capsulecrm.com/" target="_blank">CapsuleCRM</a> A very simple CRM system that can be installed as a Google App allowing it to work seamlessly with Google. Capsule is not the only Google App CRM at last count there were <a href="https://www.google.com/enterprise/marketplace/search?query=CRM">210</a>, whilst most do not need a Google Account and can be used separately using with Google enhances the experience. &nbsp;&nbsp;</div><div style="text-align:left;"><br/></div><h4 style="text-align:left;"><span style="font-weight:bold;">Things to Consider:</span></h4><ul><li style="text-align:left;">Cost.</li><li style="text-align:left;">Integration, can it integrate or does it already integrate with existing systems you use?</li><li style="text-align:left;">How customisable is it, whilst the initial configuration of the application may not meet your requirements most systems come with great customisation allowing you to closely, if not completely, mimic your work process.</li><li style="text-align:left;">Does it fit with your Company’s strategic plan, if not can you move the data successfully later.</li></ul><div style="text-align:left;"><br/></div><h2 style="text-align:left;"><span style="font-weight:bold;">Accounting</span></h2><div style="text-align:left;">&nbsp;&nbsp;<a title="Wave Accounting" href="http://waveaccounting.com/" target="_blank">Wave Accounting</a> very simple accounting but 100% free its revenue being generated by inconspicuous ads and offers. <a title="Freshbooks" href="http://www.freshbooks.com/" target="_blank">Fresh Books</a><a title="Xero" href="http://www.xero.com/" target="_blank">Xero</a><a title="Zoho Books" href="http://www.zoho.com/books/" target="_blank">Zoho Books</a> As I have said previously Zoho has a number of Cloud based products, because of this integration between them tends to be high on the priority list. <a title="Netsuite" href="http://www.netsuite.com/" target="_blank">Netsuite</a> Whilst it has the accounting side its USP is that it also includes CRM, e-Commerce and ERP functionality. &nbsp; Things to Consider</div><ul><li style="text-align:left;">Cost.</li><li style="text-align:left;">Integration, can it integrate or does it already integrate with existing systems you use?</li><li style="text-align:left;">Security</li></ul><div style="text-align:left;"><br/></div><h2 style="text-align:left;"><span style="font-weight:bold;">Process</span></h2><div style="text-align:left;">&nbsp; Most Cloud Based ‘Business Apps’ have elements of Workflow and business logic in them, be it Alerts to inform managers of big deals or full blown processes with a multitude of steps which have to be followed when signing up a new client. &nbsp;However these workflows are often limited, trying to allow for the most used processes rather than every conceivable workflow. There are however a number of cloud based systems that allow you to create your process and integrate it into your other apps giving you a 100% match to your business logic. &nbsp; <a title="Run My Process" href="http://www.runmyprocess.com/" target="_blank">Run My Process</a><a title="Intalio" href="http://www.intalio.com/" target="_blank">Intalio</a>&nbsp;&nbsp;</div><div style="text-align:left;"><br/></div><h2 style="text-align:left;"><span style="font-weight:bold;">Development / Custom Applications</span></h2><div style="text-align:left;">&nbsp; If you are keen to use the Cloud but cannot find an app that you can customise to the way you work, you could look to build your own, you may find that it’s not as costly as you might think. &nbsp; <a title="Bespoke Software Development" href="http://www.relativity.co.uk/services/business-software-development/" target="_blank">Bespoke Software Development</a>, probably the most complex so you would be unlikely to be able to do it yourself and will therefore require capital expenditure for third party developers. &nbsp; If you are logically minded you may be able to build it yourself. The solutions below give you the the benefit of a monthly cash flow that you would expect from cloud, rather than capital expenditure of bespoke. They also give you the option to DIY or use a developer consultant, any number of which that can be found online. &nbsp; <a title="Zoho Creator" href="http://www.zoho.com/creator/" target="_blank">Zoho Creator</a><a title="Salesforce Force.com" href="http://www.force.com/" target="_blank">Salesforce Force.com</a><a title="LongJump" href="http://www.longjump.com/database" target="_blank">LongJump</a><a title="Rollbase" href="http://www.rollbase.com/" target="_blank">Rollbase</a><a title="Netsuite SuiteCloud" href="http://www.netsuite.co.uk/portal/uk/platform/main.shtml" target="_blank">Netsuite SuiteCloud</a> &nbsp; Things to Consider</div><ul><li style="text-align:left;">Cost both the monthly and any support you may require to develop the application itself.</li><li style="text-align:left;">Can it integrate with external systems, how easy is the integration?</li><li style="text-align:left;">Security</li><li style="text-align:left;">Resilience of the platform on which your app is running. Netsuite, Zoho and Salesforce are basically using the underlying infrastructure from their other services to run the development apps. Rollbase and Longjump are using an infrastructure developed specifically for the system they sell, whilst any Cloud supplier’s main weak point is keeping things up and running you would say Netsuite, Zoho and Salesforce have more to lose if things go wrong.</li></ul><div style="text-align:left;">&nbsp;</div><h2 style="text-align:left;"><span style="font-weight:bold;">Projects</span></h2><div style="text-align:left;">&nbsp;&nbsp;<a title="Zoho Projects" href="http://www.zoho.com/projects/" target="_blank">Zoho Projects</a><a title="Basecamp" href="http://www.basecamp.com/" target="_blank">Basecamp</a>&nbsp;&nbsp;</div><div style="text-align:left;"><br/></div><h2 style="text-align:left;"><span style="font-weight:bold;">Communication</span></h2><div style="text-align:left;">&nbsp;&nbsp;<a title="Skype" href="http://www.skype.com/" target="_blank">Skype</a><a title="Google Talk" href="http://www.google.com/talk/" target="_blank">Google Talk</a><a title="VOIPfone" href="http://www.voipfone.co.uk/" target="_blank">Voipfone</a><a title="Voiptalk" href="http://www.voiptalk.org/" target="_blank">Voiptalk</a><a title="Ring Central" href="http://www.ringcentral.co.uk/" target="_blank">Ring Central</a> &nbsp;&nbsp;</div><div style="text-align:left;"><br/></div><h4 style="text-align:left;"><span style="font-weight:bold;">Things to Consider:</span></h4><ul><li style="text-align:left;">Cost.</li><li style="text-align:left;">Integration, does it need to integrate into an application you are using, this is more likely to be an issue at the application end but worth considering.</li><li style="text-align:left;">Is it purely for internal calls or will you need to call ‘normal’ phone numbers?</li><li style="text-align:left;">Do you need an incoming phone number, geographically where should it appear to be?</li><li style="text-align:left;">Do you need full PBX functionality i.e. Extensions?</li><li style="text-align:left;">How good is your Broadband Connection?</li></ul><div style="text-align:left;"><br/></div><h2 style="text-align:left;"><span style="font-weight:bold;">Document Editing</span></h2><div style="text-align:left;">&nbsp; The online document editing functionality is not as ‘rich’ as you would expect working locally with apps such as Microsoft Office etc. &nbsp;If you are using these docs internally and not for complicated items then these Cloud offerings work well, add complex functions/layouts or the need to interoperate with Offline Formats then you should look at traditional offerings. <a title="Google" href="http://drive.google.com/" target="_blank">Google</a>. <a title="Zoho Docs" href="http://www.zoho.com/docs/" target="_blank">Zoho Docs</a><a title="Office 365" href="http://www.microsoft.com/en-us/office365/office-web-apps.aspx" target="_blank">Office 365</a> As you would expect of a Microsoft product Office365 gives the best compatibility with MS documents, whilst online editing still may not be as rich you would expect from an offline system you should not lose any of your formatting. Things to Consider</div><ul><li style="text-align:left;">Who your audience is, what format will they require?</li><li style="text-align:left;">Ongoing support for things such as patches, on line editors are centrally managed by the supplier. Using Office to access your documents in Office 365 will mean you having to keep local apps up to date.</li><li style="text-align:left;">Would a hybrid system work, here we use Google to work on the content of documents with all the benefits of collaboration etc. but when we need to send the final document/sheet out to someone who will use MS to work on it further then we download and format it locally.</li></ul><div style="text-align:left;"><br/></div><h2 style="text-align:left;"><span style="font-weight:bold;">&nbsp;Online Backup</span></h2><div style="text-align:left;">&nbsp; If CRM was not one of the first ‘Cloud’ applications then Online Backup was. &nbsp;Proprietary software was initially used by large scale enterprise and data centres to keep offsite backups of key data and applications. &nbsp;When these systems became cloud enabled and cost effective the online backup systems market exploded. &nbsp;As I said earlier these systems have grown over time and now share a lot of functionality with that of Online storage. You may find either one does the job you require. <a title="LiveDrive" href="http://www.livedrive.com/" target="_blank">Livedrive</a><a title="Mozy Pro" href="http://www.mozypro.co.uk/" target="_blank">Mozy Pro</a><a title="Carbonite" href="http://www.carbonite.co.uk/" target="_blank">Carbonite</a>&nbsp;</div><div style="text-align:left;"><br/></div><h4 style="text-align:left;"><span style="font-weight:bold;">Things to Consider:</span></h4><ul><li style="text-align:left;">Cost, you can end up with vastly different costs depending on your requirements now and in the future.</li><li style="text-align:left;">Future requirements, can the service you opt for now grow to what it needs to be as the transfer to another supplier in the future could be difficult.</li><li style="text-align:left;">Broadband Bandwidth/Restrictions, whilst most online backup systems constantly monitor your system for changes the systems are very clever and the actual data that is transferred during the day is relatively small unless you are creating lots of data (i.e lots of new images). &nbsp;However all the machines will have to do their first backup, this will lead to lots of traffic initially which could cause problems with internet access during the first few days.</li></ul><div style="text-align:left;">As I said previously these are just a few of the apps and services available in the Cloud covering some of the apps I deemed applicable to most businesses. <a title="GetApp" href="http://www.getapp.com/" target="_blank">GetApp</a> is a more comprehensive directory service covering more applications (287 CRM, 122 Project systems) and more types of services (CRM to Marketing, Timesheets to Performance Appraisals). &nbsp; I hope you now understand, whilst the Cloud is a vast and ever changing topic at its heart it is quite simple ( <a title="What is the Cloud – Part 1" href="http://www.relativity.co.uk/2012/07/what-is-the-cloud-part-1/" target="_blank">What is the Cloud - Part 1</a>). Whilst Security is always a concern the Cloud is probably more secure than you have with your current systems ( <a title="What is the Cloud – Part 2 Security and Privacy" href="http://www.relativity.co.uk/2012/07/what-is-the-cloud-part-2-security-and-privacy/" target="_blank">What is the Cloud - Part 2</a>). If you want a more mobile workforce using systems that are both flexible and scalable then the Cloud is a cost effective way to get what you want ( <a title="What is the Cloud – Part 3 Mobile and Always On" href="http://www.relativity.co.uk/2012/07/what-is-the-cloud-part-3-mobile-and-always-on/" target="_blank">What is the Cloud - Part 3</a>). However be aware that the Cloud is not always the solution and you should consider what your requirements are now and in the future ( <a title="What is the Cloud – Part 4 does it cost more?" href="http://www.relativity.co.uk/2012/07/what-is-the-cloud-part-4-does-it-cost-more/" target="_blank">What is the Cloud - Part 4</a>). I &nbsp;recently ran a small poll on LinkedIn asking if people&nbsp;preferred&nbsp;to rent rather than buying, (I guess the underlying question is do people prefer the cash flow delivered from renting over the perception/possibility of saving money through ownership), now I was not specific about what was being rented, although it linked to a <a title="End of Ownership" href="http://www.wired.co.uk/news/archive/2012-07/13/end-of-ownership" target="_blank">Wired article</a>&nbsp;which discussed renting things such as Pets (!!!) &nbsp;through to Cloud based systems. &nbsp;The poll results were as I expected a 50/50 split, and to be honest this is where I stand on the subject as well, there is just too much circumstance to make this an easy call. &nbsp;In this post &nbsp;I am going to run through a couple of very simple examples, but then at the end I want to leave you with a few thoughts as the use of the Cloud can be more than just a £ game.&nbsp; So looking at it very simply it's a no brainer, however if you have a legacy app such as an accounting package that cannot be moved, a lot of your cost will still be required even if you did move other functionality to the cloud. If we were to assume the £853 pa for the Small Business Server had to be invested for this one legacy app then the figures become much closer and over 5 years the difference is just £50 pa, finally you should not underestimate the cost to move to the cloud, looking at both these scenarios the On Premise solution would win based on just cost. So if you are a start up business using Cloud Computing is a simple decision, if you are an established business with legacy apps, an investment in infrastructure and lots of on premises data and information it becomes a lot less clear. However even if the simple maths does not work there are the non tangible things you have to consider of the Cloud.&nbsp;&nbsp;</div><div style="text-align:left;"><br/></div><ul><li style="text-align:left;"><strong>Flexibility in Scalability</strong>: As you pay per user the system grows as you do, users can be added and removed at the click of a button.</li><li style="text-align:left;"><strong>Cash flow</strong>: As users can be added and removed at will and therefore paid for at will, cashflow is not hampered by swings in staff or large expansions.</li><li style="text-align:left;">No large upfront capital outlay or ‘end of life refresh’ outlay for hardware and software.</li><li style="text-align:left;"><span style="font-weight:bold;">Flexibility of Work</span>: Whilst work life balance has to be considered the ability for staff to work from home or whilst travelling can be very advantageous to both the business and the staff.</li><li style="text-align:left;"><span style="font-weight:bold;">Reduced Down Time</span>: No system is resilient to downtime and outages but Cloud systems have experts monitoring for issues 24/7 with quick fix times.</li><li style="text-align:left;"><strong>Collaboration</strong>: Cloud systems are built around&nbsp;collaboration&nbsp;allowing users to streamline their team working process. As an example, it’s not unusual for team members to send reports around each adding, reviewing and amending as they go, at the end of the project there are multiple copies on multiple machines leading to confusion. With a Cloud solution you could create a team workspace where everyone works on the same document, perhaps at the same time!.</li><li style="text-align:left;">Reduced exposure to lost time/money through hardware loss/theft.</li><li style="text-align:left;">Patching is handled by the Cloud supplier, your systems are therefore always up to date with little or no downtime and at no additional cost.</li><li style="text-align:left;"><span style="font-weight:bold;">No Cost Upgrades</span>: As you are renting the Software as a Service all upgrades are supplied within your rental fee, no capital outlay to update in the future and you always have the most recent version.</li></ul><div style="text-align:left;">&nbsp;</div><div style="text-align:left;">Hopefully, you now understand the huge savings that can be delivered from Cloud based solutions, but any decisions should be made with the business process and strategy in mind. &nbsp; My final post in this five part series will look at some of the apps available out there in the Cloud. &nbsp;&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;"><a title="What is the Cloud – Part 5 What Cloud Apps are Available" href="http://www.relativity.co.uk/2012/08/what-is-the-cloud-part-5-what-cloud-apps-are-available/" target="_blank">What is the Cloud –&nbsp;&nbsp;Part 5 What Cloud Apps are Available</a></div><strong id="internal-source-marker_0.015347047941759229"></strong></div>

I can create, edit and delete content and next time I get an internet connection it will sync the changes plus any made by my colleagues whilst I was offline. &nbsp;This even trumps a traditional system where you are saving to a network server, loose connection to that, you have no access to your documents and the one you are working on will need to be saved locally and later added, if you remember. &nbsp; So the Cloud gives me the ability to be mobile much more than any other system I could implement at the same cost and the fact that the majority of it works offline means I do not have to worry about an Internet connection. This post breaks down Cloud Computing into three key types—SaaS, IaaS, and PaaS—showing how Software as a Service (SaaS) can transform the way you work.]]></description><content:encoded><![CDATA[<div class="zpcontent-container blogpost-container "><div data-element-id="elm_FsBA3o_sRUWamiKe87vDHA" data-element-type="section" class="zpsection "><style type="text/css"></style><div class="zpcontainer-fluid zpcontainer"><div data-element-id="elm_l_YrVv6fQAGIjJLRkkBY6A" data-element-type="row" class="zprow zprow-container zpalign-items- zpjustify-content- " data-equal-column=""><style type="text/css"></style><div data-element-id="elm_VK1BSs4AQ9qUw3qnAoliwg" data-element-type="column" class="zpelem-col zpcol-12 zpcol-md-12 zpcol-sm-12 zpalign-self- "><style type="text/css"></style><div data-element-id="elm_YwQ8gtcbT0mbrUylxexEcw" data-element-type="text" class="zpelement zpelem-text "><style></style><div class="zptext zptext-align-center zptext-align-mobile-center zptext-align-tablet-center " data-editor="true"><div style="text-align:left;">I am often asked “What is the Cloud and how could it help my business?” This comes from the fact that the Cloud has a lot of complexities, acronyms and misconceptions, this leads to a lot of frustration and distrust from the people the Cloud can do the most for, namely the small business owner. ‘Cloud’ or ‘Cloud Computing’ can be split down into three distinct types and depending on who you speak to they say their type is true Cloud Computing, hence some of the confusion related to the subject.&nbsp;&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;">There are &nbsp;three types of Cloud Computing:</div><div style="text-align:left;">&nbsp;</div><div style="text-align:left;"><strong>Software as a Service</strong> (also known as SaaS)&nbsp;</div><div style="text-align:left;"><strong>Infrastructure as a Service</strong> (also known as IaaS)&nbsp;</div><div style="text-align:left;"><strong>Platform as a Service</strong> (also known as PaaS) &nbsp; Whilst the rest of this article goes into each of these services in a little more detail this series of articles will concentrate on Software as a Service as it is here where SME’s can make best use of it. &nbsp;&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;"><strong>Software as a Service</strong>, I have not come across a business in the last 5 years that is not already using the Cloud in this form. SaaS is the renting of a Service or Application via the Internet, these services or applications are normally delivered via a Web Browser or specific light weight or mobile applications installed on an end users device. &nbsp;</div><div style="text-align:left;">Typical uses and examples of suppliers include <a title="Google Email" href="http://www.relativity.co.uk/services/google-apps-implementation/email/">Email</a> (Google, Yahoo, Microsoft), Hosting (Hostgator, Webfusion), Storage (Dropbox, Box.Net), <a title="Hosted CRM" href="http://www.relativity.co.uk/services/hosted-crm/">CRM</a> (Capsule, Zoho, Salesforce), <a title="Online Backup" href="http://www.relativity.co.uk/services/online-backup/">Offsite Backup</a> (Mozy, Carbonite) , <a title="Google Apps Implementation" href="http://www.relativity.co.uk/services/google-apps-implementation/">Collaboration</a> (Google, Microsoft), Communication (Skype, VOIP), Entertainment (Spotify, Last.fm, BBC iPlayer). &nbsp; To me the SaaS side of the three Cloud services is the most exciting and I’ll explain later but before I get to that I should give a little time to the other types of Cloud. &nbsp;&nbsp;</div><div style="text-align:left;"><strong><br/></strong></div><div style="text-align:left;"><strong>Infrastructure as a Service</strong> is the most basic and pure version of the cloud, it relates to the renting of just the hardware (no software). The hardware is located in a remote safe, secure and reliable location and the supplier maintains and supports it. &nbsp;In a lot of instances the ‘hardware’ is virtualised meaning that rather than a physical piece of equipment you have a virtual server created by software on a bigger or groups of bigger pieces of equipment. &nbsp;&nbsp;The benefits of this is that you can scale up and down your server as you require it. &nbsp;For instance you may have new project launching which will drive an increased number of people to your website for just a few days and then it goes back to normal, so for those few days you increase the resources to allow for the extra traffic. &nbsp;IaaS is for those clients who have technical staff who can support the system software and all the business applications that run on it. &nbsp;&nbsp;</div><div style="text-align:left;"><strong><br/></strong></div><div style="text-align:left;"><strong>Platform as a Service,</strong>&nbsp;This service takes IaaS a little bit further in that you are renting not just the Hardware but also the System software, this is a bit like renting a computer with Windows or OSX on it but nothing else, again the hardware is located remotely but the systems software is also supported by the supplier in addition to the hardware. &nbsp;Again as the renter you can scale what you want when you want it. &nbsp; Both these Services have their own place in the market, traditionally they have been and will continue to be used by suppliers offering SaaS as it means they can scale their operations as they increase the users of their SaaS Cloud, other uses include large scale short term web sites for Example the Official Website covering the marriage of Prince William to Kate Middleton or one off/infrequent &nbsp;computational modelling such as Weather, Stock Markets, Genome modelling etc. &nbsp; So back to Software as a Service, Exciting!! OK, so that may be just me but as a small business owner Software as A Service gives me access to applications, software and services which were once only available to big businesses.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;">&nbsp;As an example my day starts with a Video Call with a prospective client, I use <strong>Skype</strong>, so my Video call is free and generally hitch free. &nbsp;I detail the call in my <strong>hosted CRM</strong> system, as a very small business I could have bought ACT etc very cheap but my CRM is free, better than that if I need extra users next week I just add them and they integrate seamlessly. I start to work on a report in <strong>Google Apps for Business</strong> drawing in live data from both the Web and Spreadsheets, &nbsp;I soon realise I need input from another supplier, I send them the link to the document and I start another Skype call with them, as we discuss it we both highlight and change areas, of course we see the changes each of us makes straight away as we are working on the same document, I leave him to continue work on his section and I carry on on my section (but working on the same document). &nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;">Trying to get this report done I need some music (I work better listening to music), I heard a great singer this morning on the radio, I could go and buy an album on iTunes but instead I’ll open <strong>Spotify</strong> and search for the Artist. Finally the report is finished, again I invite someone else to read it before I create a PDF of it and send it on to the client. &nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;">I could have given them a link to it but this client is a bit of a technophobe thats why I am working with them. In the meantime I see another client (in the US) has dropped some work into my <strong>DropBox</strong> (online storage that we share), they also dropped me an email to say what needs to be done. I work for this client as a <strong>vCTO</strong> (virtual Chief Technical Officer), they want all my expertise, just not all of the time. &nbsp;Rather than using Skype I use Voice over IP (VOIP) to call this client, using <strong>VOIP</strong> means that although we are continents apart I am just an extension on their phone system and have a local number in each of the countries they work so its cheap and easy for local suppliers and contacts to get hold of me.&nbsp;</div><div style="text-align:left;"><br/></div><div style="text-align:left;">The call is about a new user they need, before the end of the call the new user has an email account, a calendar, document storage, access to all their support and new hire documents, communication both Skype and a VOIP extension, not forgetting an account in the CRM and Accounting system, this also sets off a couple of administration processes such as Payroll but these are not handled by me but I will be able to track them via my To-Do list. I also add a couple appointments on my calendar with the new user, they automatically get an invite, just to introduce myself to them.
